Create a System to Track Every Document, Call, and Decision
From this point forward, your life will involve a constant flow of paperwork: evaluation reports, IEP documents, insurance Explanations of Benefits (EOBs), therapy session notes, waiver applications, school correspondence, and medical records. Families who organize these documents early save themselves enormous stress later — especially when disputes arise with schools or insurance companies. Create a binder or digital folder system with clearly labeled sections: Medical Records, Evaluations, IEP/IFSP Documents, Insurance and Billing, Waiver Correspondence, Therapy Logs, and School Communication. Every time you receive a document, file it immediately. Start a communication log today. Every time you speak with a teacher, therapist, school administrator, insurance representative, or government agency, write down the date, the person's name and title, what was discussed, and any commitments they made. This log becomes critical evidence if you ever need to file a complaint, request a due process hearing, or appeal an insurance denial. A golden rule: never give away your only copy of anything. Schools lose documents. Agencies lose documents. If you hand over your only copy of the evaluation report and it disappears, you will have to pay the evaluator for a duplicate — if they even still have it on file. Always provide copies and keep originals safe.
Documentation is your most powerful tool in disputes. Insurance appeals, due process hearings, and complaint investigations all depend on written evidence you collect now.
